Fleet Management Software for South African Operators
Fleet management software purpose-built for South African logistics realities — multi-depot diesel, PDP renewals, supplier service history, and the mobile app the depot floor actually uses.
Adaptix is our production fleet management platform — multi-tenant, RLS-isolated, and built around how SA fleets are actually organised. Royal Safaris is a live tenant; a national fresh-produce logistics operator is in cut-over from a legacy system. The same platform can be configured for your operation, or extended with the workflows specific to how you run.

What is fleet management software?
Fleet management software is a system that tracks vehicles, drivers, fuel, tyres, services, and compliance from one operational dashboard — replacing the spreadsheets and WhatsApp groups most growing fleets rely on. Adaptix is TailorMadeTech's purpose-built fleet management software for South African operators: multi-tenant, RLS-isolated, with an offline-first mobile app for drivers and a live web platform at adaptix.co.za.
Where generic fleet platforms fail South African operators
Most international fleet platforms are built for North American haulage or European logistics. They assume API access to fuel cards that do not exist here, ignore PDP and licence renewals entirely, and have no concept of multi-depot diesel intake or supplier-by-supplier service history. SA fleets that grow past ten vehicles hit the same wall: fuel cards leak, tyres get reactive, driver inspections live in WhatsApp, compliance documents expire silently, and the fleet manager spends their day in spreadsheets.
What fleet management software should actually do
Adaptix is built around the daily realities of SA fleet operators. Every capability is in production today:
Operations Triage dashboard
Every morning, one screen that tells you what is leaking money, what expires this week, and what to action today. The dashboard your fleet manager wishes they had.
Multi-depot fuel management
Bulk diesel intake at depot level plus per-trip fuel use, with expected-versus-actual mileage variance flagged on every truck. The fuel-card leakage that costs growing fleets thousands a month becomes visible.
Tyre lifecycle and inventory
Per-position tyre health bars on every vehicle. Inventory of stored tyres. A worn tyre becomes a planned spend instead of a roadside breakdown.
Driver inspections via mobile app
Pre-trip checks captured on the Adaptix mobile app, with photos. WhatsApp inspections become a managed workflow with admin queue and one-click resolution.
PDP, licence, and worker compliance
Live expiry tracking for PDPs, licences, medicals, and leave. The system flags renewals before they cost you a roadworthy fine.
Service history per vehicle
Centralised service log per truck — every job, every supplier, every invoice attached to the vehicle for life, so resale value and warranty claims are never lost.
Weekly dispatch planner
Assign drivers and vehicles across the week, replacing the printed schedule on the wall with something the whole team can see.
One-click PDF and Excel exports
Every operational stream — refuels, trips, check-ins, services — summarised live and exported for the accountant or the auditor in one click.

Fleet management software in production
Adaptix is live. Tenants in production today include:

Adaptix — Royal Safaris
Live production tenant using Adaptix for fuel tracking, driver check-ins, and worker compliance management including service and document expiry tracking.

Adaptix — Fresh-produce logistics operator
Pilot tenant in cut-over from a legacy single-tenant predecessor. National fresh-produce logistics operator. Migration executed end to end while their operation kept running.
Why purpose-built fleet management software
Generic fleet platforms try to do everything for everyone and end up doing nothing well for any specific operation. Here is what is different:
Built around SA fleet realities
Multi-depot diesel intake. PDP and licence renewals. Supplier-by-supplier service history. Worker compliance the way local labour rules expect it. Not retrofitted from a foreign product.
Mobile app the depot floor actually uses
Drivers, mechanics, and refuel attendants capture pre-trip checks, depot refuels, and trip logs on their phones. Offline-first, so a rural depot with weak signal is never blocked. Available on the App Store and Google Play under "Adaptix".
Multi-tenant by design
Each operator runs in fully isolated data via Supabase Row-Level Security. New tenants are onboarded onto the same battle-tested platform without rebuilding it.
Migrated a production tenant without downtime
We executed a live migration of a national fresh-produce logistics operator from a legacy system while their operation kept running. Every tenant boundary and RLS policy was tested against real cargo daily.
What Adaptix is built with
The same modern stack we use across every TailorMadeTech build, hardened for the realities of South African fleet operations — rural depots, weak signal, and operators who do not have time to learn a new system.
Next.js
Office-side fleet platform
The Adaptix web platform — Operations Triage, fuel and tyre management, dispatch planning, compliance dashboards. Server-side rendered for fast loads on a fleet manager's desk in the morning, deployed on Vercel.
Flutter
Driver and depot mobile app
Adaptix Mobile on the App Store and Google Play. Offline-first pre-trip checks, depot refuels, trip logs, and fault reports — captured on the phone and synced into the office system when the device hits signal.
Supabase
Multi-tenant backend with Row-Level Security
Managed Postgres with RLS policies enforced at the database layer, so every tenant's data is fully isolated by design. Auth, real-time updates, and edge functions all on the same backend.
Integrations
Telematics, fuel cards, Google APIs, accounting
We connect to fuel-card providers where APIs exist, ingest telematics where the trackers expose data, and feed reports straight into your accounting workflow. Google Maps for routing, Google Drive or S3 for document attachments — wired to whatever your fleet already runs.
How fleet platform onboarding runs
Adaptix is a production platform with both an onboarding track and a customisation track:
Step 1: Discovery call
Free. We learn your fleet size, depots, current pain points, and confirm the platform fits your operation.
Step 2: Hands-on setup
We do the configuration, vehicle and driver import, depot setup, and integration work ourselves so your team is not learning the system in a vacuum.
Step 3: Active onboarding
We sit with your team — fleet manager, mechanics, drivers — train them on real workflows, and stay close while you ramp up. Zero transition pain is the goal.
Step 4: Customisation and partnership
Workflows specific to your operation are added under the ongoing monthly partnership. You get a platform that keeps evolving with your fleet.
Frequently asked questions
How is Adaptix different from international fleet management software?
It is purpose-built for South African operators. Multi-depot diesel, PDP and licence renewals, supplier-by-supplier service history, worker leave and compliance — all first-class workflows rather than fields bolted onto a foreign product.
What size fleet does this make sense for?
The platform starts being useful at around ten vehicles, where spreadsheets and WhatsApp begin to break down. We currently have tenants running multi-vehicle fleets across multiple depots.
Is there a mobile app for drivers?
Yes. The Adaptix mobile app is on the Google Play Store and the Apple App Store. Drivers, mechanics, and refuel attendants capture pre-trip checks, depot refuels, trip starts and ends, and fault reports on the phone — all syncing into the office dashboard when they hit signal.
Can we migrate from our existing system?
Yes. We have already executed a live migration for a national fresh-produce logistics operator from their legacy single-tenant predecessor while their operation kept running. Migration is scoped during the discovery phase.
How is our data isolated from other tenants?
Each tenant has fully isolated data via Supabase Row-Level Security policies enforced at the database layer. The same architecture pattern is used by regulated multi-tenant SaaS products globally.
Can the platform be customised for our specific workflows?
Yes. Adaptix is built as a multi-tenant product, but bespoke workflows can be added under the ongoing monthly partnership — that is the whole reason we work on a long-term partnership model rather than one-off builds.
