- Operational Logs: This includes data actively entered by users, such as trip logs, fuel purchase records, pre-trip vehicle safety checks, and weekly work schedules created in the planner.
- Uploaded Media: To enhance record-keeping, the Service allows users to upload images, specifically for pre-trip checks (e.g., tire condition) and refuel events (e.g., photos of the odometer and fuel pump).
- Location Data: Business and client store addresses and geographic coordinates are collected to power map-based features and logistical planning.
- Chatbot Interactions (Admin users only): Text queries entered into the admin assistant chatbot are processed to provide data-driven responses.
3. How Data Is Used
The collected data is used exclusively for the operational purposes of JLL Fresh Produce, including:
- Authenticating users and providing access based on their designated roles.
- Tracking vehicle status, service needs, and performance.
- Managing weekly schedules and assignments for drivers and other workers.
- Generating analytics reports on fuel efficiency, worker performance, and fleet costs.
- Providing real-time data insights to administrators via the AI chatbot.
- Ensuring a verifiable record of vehicle safety checks and refuel events.
4. Third-Party Services
To power the Service, we utilize several third-party platforms:
- Supabase: Serves as the core backend, handling the database, user authentication, and secure storage for all data and uploaded files.
- Google Maps Platform: Used to display store locations on a map and provide address autocomplete functionality.
- OpenAI: Processes the natural language queries submitted by administrators through the chatbot feature to generate relevant answers from the database.
5. Data Security & Retention
All data is stored securely within the Supabase infrastructure. We retain data for as long as is necessary for the operational needs of JLL Fresh Produce or as required by law. Access to data within the application is strictly controlled by user roles.
